All breakdowns should be reported immediately to the Fleet Solutions contact. They will advise the correct breakdown procedure to follow.
When contacting recovery, you will require the following information:
- Your vehicle model and registration number
- A brief description of the problem and the location of the vehicle
- A telephone number where you can be contacted at the scene
Where possible you should try to leave your vehicle in a safe place and turn on your hazard warning lights. Ideally, you should wait near your vehicle, but away from the carriageway or the hard shoulder.
If you feel at risk return to your vehicle by the passenger door and lock all the doors but do leave your vehicle if you think that danger has passed.
The recovery agent will advise when they will attend on scene, giving you an approximate time, you must then contact the Fleet Solutions office, advising them of the current situation.
If the vehicle is not repairable, please contact the Fleet Solutions office for a recovery destination. If the vehicle is drivable, contact the Fleet Solutions office who will advise a course of action.
If the vehicle has broken down due to wrong fuel, Assist will not attend until they have received payment for the recovery. This is the Chauffeurs responsibility

If the driver notes state that the vehicle is required to be cleaned this must happen. Please be aware most vans won’t fit in a carwash, so please use a jet wash. If coin operated, please ensure to take a picture next to the machine as this will act as your receipt.

Each vehicle collected from a GEFCO site may have paper/plastic floor protectors and a yard ticket inside. These are to be removed and disposed of before you leave site.

If you arrive at a site or customer and the vehicle you’re collecting isn’t available, please contact the office or Out of Hours and make them aware of your arrival time and the time you receive the vehicle.
NEW Vehicle Collection and Delivery Process

The new process is as follows – when collecting a vehicle please ensure the vehicles is aired for at least 10 minutes. This is now an ideal time to complete the external inspection of the vehicle. You are now required to wipe down the vehicle controls, steering wheel and door handle of the vehicle with antibacterial wipes. Please follow this process again just before the vehicle is handed over to the customer.
Electric Vehicle Process

We now have many contracts which require GEFCO to deliver and collect Electric vehicles to and from customers. If you are assigned one of these there will be a TAG on Moveecar line this ELECTRIC. If collecting from a GEFCO site, the vehicle should have at least 60% charge. It should also arrive with the customer with 60% charge. Please plan your journey accordingly to include the relevant charging stops to ensure you and the vehicle arrive safely and with the correct amount of charge. We recommend downloading the following apps to your phone. The first one is ZapMap, this will allow you to plan your journey on the correct route that will include charging point. You will also need to set up accounts for Ecotricity and BP Polar. The average cost for charging is around £6.00. This needs to be added to the Moveecar expenses on the same day as the purchase and marked as fuel. We will then reimburse this amount to you through expenses.
